The Client Services Manager is a full-time position which provides “first point of contact” service to our clients. This position is an integral part of our small office team ensuring that customer service, client experience and office operations exceed expectations. We are seeking someone who works well as part of a small and successful team, effectively demonstrates empathy for our clients, and consistently maintains a professional presence.

Position Responsibilities:

  • Serve as first point-of-contact creating a positive client experience; lead first impression by welcoming all clients and others in personable and professional manner
  • Correspond with custodians regarding processing, account alerts and other back office items
  • Prepare account paperwork for clients, work with custodians, and perform research as necessary to ensure that client documentation is completed accurately
  • Manage calendars for firm advisors including scheduling meetings
  • Collaborate with the wealth management team to prepare reports and other materials for client meetings 
  • Manage client experience including tracking critical data, leading flow of documents and processes, and integrating internal systems
  • Operational lead with our custodian (Charles Schwab), CRM (Salesforce), and other peripheral financial planning systems. The position requires the ability to effectively track and report client information
  • Help maintain a professional & well-organized office environment to leave a positive impression with our visitors
  • Assist with billing on client accounts
  • Serve as technology liaison with outsourced IT vendor
  • Independently manage & execute a variety of projects
  • Purchase and manage office supplies
  • Assist with team celebrations, business development and firm events

Personal Requirements & Qualifications:

  • Excellent interpersonal and relationship management skills
  • Ability to manage time effectively with multiple projects and deadlines
  • Self-motivated, with the ability to prioritize tasks with little direction and commitment to do anything to get the job done
  • Experience with Salesforce and Charles Schwab preferred
  • Proficiency with Microsoft Office suite (Word, Excel, PowerPoint)
  • Intellectual curiosity, with a high attention to detail
  • Strong written, verbal, math, financial, analytical, problem solving, and organizational skills
  • Passion to be successful in a collaborative and entrepreneurial atmosphere
